about Birthday Parties at the Newtown Theatre

Thank you for your interest in renting the Newtown Theatre for your birthday party. These FAQ address child and adult birthday parties. If you have a question that has not be addressed below, the quickest way to get an answer is to get in touch with us through our website.


How do I book a party?

Every renter must submit a rental request form through our website. This ensures that we have all of your contact information and date/time preferences in one place. Rental requests cannot be initiated over the phone, through social media, or in person at the theatre.

Please note that we need at least four weeks' notice prior to all parties.

We will respond to all rental requests within 48 hours. If you submitted a request form and have not heard back from us after two full days, please contact us using the form on our website.

Once we have your request, we will get in touch with you via email or, if necessary, over the phone. If you are planning a surprise party and need to restrict how we get in touch with you, please note that on your rental request form and tell us the best way to reach you.


Are there restrictions on what i can screen during my party?

There are no restrictions on the content of the movie.

Please consider timing constraints. Because all birthday parties are two and a half hours, we highly recommend you keep the running time at about an hour and a half. That will give you time after the movie to enjoy food or dessert and load out on time.

You can bring either a regular Blu-Ray or DVD. We cannot play:

  • A film file saved on a flash/USB drive

  • A 4K Ultra HD Blu-Ray disc

  • Anything that must be streamed from Netflix, Amazon, etc.

Please test your disc before your party. We can’t be responsible for a disc that doesn’t work.

If you'd like guests to be able to chat/mingle during your party, we can lower the volume of the film for you. Just let us know when you arrive.


How much time do I have to set up and clean up?

You will have a 15-minute window at the beginning and end of your party to load in and out of the theatre.

Because we book parties back-to-back, we are unable to give more time for load-in and load-out.

  • For a party that starts at 10 AM, you can load in starting at 9:45 AM, and you must be cleared out by 12:30 PM.

  • For a party that starts at 1 PM, you can load in starting at 12:45 PM, and you must be cleared out by 3:30 PM.

  • For a party that starts at 4 PM, you can load in starting at 3:45 PM, and you must be cleared out by 6:30 PM.

  • For a party that starts at 10 PM, you can load in starting at 9:45 PM, and you must be cleared out by 12:30 AM.


How many guests can I invite?

For a child's birthday party, we can accommodate a maximum of 30 children. You can have as many parents/guardians stay as you'd like (no extra fee!), but we only have enough tables and chairs for 30 guests.

For an adult birthday party, there is no limitation on how many guests you can invite, but keep in mind that we only have enough tables and chairs for 30 guests.


Will your staff be on hand to help during my party?

We will have two employees to help you. They will provide popcorn and any other concessions that are not included in your rental package, start and stop the movie, and help you move tables or arrange seating as needed.

PLEASE NOTE: All children attending a birthday party must be supervised at all times. For the safety of all our guests, staff and facilities, inappropriate and/or disruptive behavior will not be tolerated. Adults will be asked to redirect inappropriate play and behavior such as running around. We recommend one adult for every eight children.


How many tables and chairs do you have? 

We can comfortably seat up to 30 people. We have several 8-foot folding tables and can provide one extra table for presents if needed. We do not provide tablecloths, but you are more than welcome to bring your own.

The tables are generally set up in the front of the auditorium but can be moved if needed.


can I come in and see the space before I book?

We are typically closed during the day. The best way to see the space is to drop in 15 minutes before any regular feature film.

Please note that we do not have a dedicated side room for birthday parties. All screenings occur in the main auditorium, and the tables and chairs are set up at the front of the auditorium near the stage.


Are there restrictions on what I can use to decorate?

All decorating must be done in the 15 minutes prior to your party’s starting time.

Candles are allowed on the birthday boy/girl's cake. We can provide plain white paper plates, utensils and napkins, or you may bring your own. We do not provide tablecloths but you may bring your own.

Because we must clean up quickly between parties, we do not allow confetti, glitter, piñatas, or balloons of any kind. 


Can I bring food?

All birthday party rental packages include a free small popcorn for each guest. All other concessions (candy and drinks) will be available for purchase.

We provide plain white paper plates, utensils and napkins, or you may bring your own.

You’re welcome to bring your own food, cake or beverages (BYOB for adult birthday parties). Some people have pizza delivered to the theatre (Newtown Pizza and Meglio Pizzeria are close). We suggest having the pizza arrive right after the movie ends, so be sure to check the running time of your film.


How much does a birthday party cost? How do I pay?

All birthday parties cost $350, and payment is due in full prior to your party.

Once you agree on a date and time with our rental coordinator, you will be provided a rental agreement that spells out the terms of your rental. The agreement will include a link to a page on our website where you can pay with a credit card or PayPal account. We do not accept check or cash payments.

You will have seven calendar days to submit payment and accept the terms in your agreement.

All Newtown Theatre members receive a 10% discount when booking the Newtown Theatre for a party. If you are a member, please note this on your rental request form so we can provide a discount code prior to payment.

After you submit payment, the rental coordinator will follow up with you to confirm that we received your payment. At that time, your rental will be locked in on our calendar and guaranteed.

If you do not submit payment on or before the due date listed in your rental agreement, your rental slot will automatically become available to others.


What's your cancellation policy?

Our rental calendar fills up weeks and even months in advance, so if you need to cancel or reschedule your birthday party, please contact us right away.

Rental fees are not transferable. This means if you cancel your party and reschedule for a later date, for any reason, you will need to submit another rental fee for your second party. The only exception is if we cannot hold your party due to serious inclement weather (see below).

Our refund policy is as follows:

  1. If you cancel more than two weeks (14 days) before your party, for any reason, we will refund half the cost of the party.

  2. If you cancel less than two weeks (14 days) before your party, for any reason, we will not refund any portion of your rental fee.

  3. If your party cannot be held due to serious inclement weather (e.g., a blizzard or hurricane), we will work with you to reschedule your party as soon as possible. However, we can’t guarantee that we can reschedule your party close to its original date.


Can you hold a date and time for me?

Birthday parties are first-come, first-served, and in high demand. We will hold your chosen date and time only in the seven-day interim between when we provide your rental agreement and when you submit payment. Until you pick one date and time, all open slots are available to all renters.
